SettleIn, a property management and payment solution, is a platform fully owned and operated by Payable Pvt Ltd. At SettleIn, we are committed to protecting your personal information and ensuring transparency about how we handle your data. This Privacy Policy outlines what information we collect, how we use it, who we share it with, and your rights regarding your data.

1. Information We May Collect

1.1 Information Provided by Property Managers: Property managers may share personal information about owners and tenants associated with a property, including but not limited to names, email addresses, phone numbers, identification numbers such as NIC/Passport numbers, apartment details, residential status, nationality, and invoices as part of their relationship with SettleIn.

1.2 Payment Information: Saved card details are tokenized and stored within the secure MasterCard payment gateway services. SettleIn or Payable does not store any credit/debit card or bank account details.

1.3 Automatic Data Collection: We use cookies and similar technologies to collect data about your interactions with our app, including session cookies and persistent cookies to enhance user experience and analyze usage trends. Device information, such as IP address, mobile device ID, browser type, operating system, and app usage statistics, may also be collected automatically.

2. How We Use the Information

We use the collected information for the following purposes:

2.1 To Provide and Improve Our Services: Facilitate account creation, verify your identity and enable access to apartment details, payments, and other features. Process payments securely and maintain transaction records.

2.2 To Communicate with You: Send important updates, payment notifications, security alerts, and customer service responses.

2.3 For Personalization: Tailor the app experience to your preferences, such as recommending features and services based on your account settings.

2.4 For Security and Compliance: Encrypt and store sensitive data such as payment information to prevent unauthorized access. Detect and prevent fraudulent transactions or unauthorized use of the app.

2.5 Other Uses: Conduct analytics to monitor and improve the app's performance and user experience. Fulfill any other purposes for which the information was collected with your consent.

3. Sharing of Information

We do not sell your personal information to third parties. However, we may share data with trusted partners in the following ways:

3.1 With Service Providers: We may share information with payment processors, SMS/email service providers, hosting services, and other service providers necessary for secure transactions, data storage, and operational purposes. Third-party tools, such as analytics providers, are utilized to improve app functionality while adhering to applicable data protection laws.

3.2 With Legal Authorities: We may disclose personal information when required by law or in response to lawful requests, such as subpoenas, court orders, or legal processes, in compliance with the laws of Sri Lanka.

3.3 During Business Transfers: In the event of a merger, acquisition, or sale of assets, your personal information may be transferred to the acquiring entity. Such transfers will be conducted in accordance with Sri Lankan data protection regulations.

3.4 With Your Consent: We will share your personal information with other users or platforms connected to SettleIn only with your explicit consent.

4. Data Protection and Security

We take reasonable measures to protect your personal information:

4.1 Two Factor Authentication: Email and mobile number verification are required to set up and access the SettleIn account.

4.2 Encryption: All sensitive information such as passwords are stored in encrypted formats using industry-standard security protocols.

4.3 Tokenization: Card details are tokenized and securely stored within the Mastercard Payment Gateway Services.

4.4 Payment Processing: Payments are processed through a PCI DSS-compliant payment gateway hosted by partner banks.

4.5 Access Control: Only authorized personnel from SettleIn and Payable can access data required to fulfill their job responsibilities.

4.6 Regular Audits: Our systems and processes undergo periodic security reviews to identify and mitigate vulnerabilities.

4.7 Privacy Assurance: Owner details or invoice details such as management and sinking fund information will not be shared with tenants. Additionally, if a tenant is paying utility bills regularly, the owner will not be notified of the utility bill payment amounts.

5. Data Retention Policy

5.1 Active Accounts: Data is retained as long as your account is active and you are associated with a property that works with SettleIn. The data provided is primarily shared by the property developer as part of their association with SettleIn.

5.2 Inactive Accounts: If you are no longer associated with a property that works with SettleIn, the tokenized card details will be deleted immediately after the property manager disconnects your account.

5.3 Legal Obligations: Certain data may be retained to comply with legal or regulatory requirements.

6. Account Deletion

Users of the SettleIn application have the right to permanently delete their account at any time. This section explains the deletion process, what data is removed, and the consequences of proceeding with this action.

6.1 How to Delete Your Account: To initiate account deletion, follow these steps within the SettleIn application:

Tap your profile avatar at the top of the screen to open the side menu panel. Select "Delete Account" from the menu options. A Confirm Account Deletion screen will appear, displaying the following warning:

"By clicking 'Yes', you will lose access to all your apartments, invoice details, and stored cards across all properties. This action is irreversible."

Tap "Yes" to confirm and proceed, or tap "No" to cancel and return to the application. The system will process the request. An "Account Deleted Successfully" confirmation screen will appear once the process is complete.

6.2 What Happens After Deletion: Upon successful deletion, your access to all apartments, invoice details, and stored payment cards across all properties will be immediately and permanently revoked. Your SettleIn account will be completely removed from the system and cannot be recovered. You will be automatically redirected to the login screen, and any subsequent login attempt using the deleted account credentials will fail. Additionally, an automated notification will be sent to the SettleIn Support Team confirming the deletion for internal record-keeping purposes.

Important: Account deletion is permanent and irreversible. Once confirmed, all associated data will be permanently removed and cannot be restored. Please ensure all outstanding matters within the application are resolved before proceeding.

6.3 Conditions and Limitations: Deleted accounts cannot be reactivated or recovered under any circumstances. All apartment records, invoice history, and stored payment cards associated with the account will be permanently erased, and the deleted account credentials will no longer be valid for login. 7. SettleIn and Payable

SettleIn is fully owned and operated by Payable, a leading provider of fintech solutions. All data and operations are managed under Payable's policies and infrastructure, ensuring the highest standards of security and compliance.

8. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated via email or a notification within the app. Continued use of SettleIn after such updates constitutes agreement to the revised policy.
